What is a corporate joining kit?
A joining kit — also called an onboarding kit, employee welcome kit or new-hire kit — is the set of branded items a company hands a new employee on or before day one. At minimum it carries the company logo on something the person will keep using: a notebook, a pen, a bottle, an ID card holder. At the upper end it is a boxed presentation with apparel, a diary, drinkware and desk accessories.
The purpose is narrower than "a gift". A joining kit does three practical jobs. It removes the awkward first hour where a new hire has nothing on their desk. It gets your brand into their daily habits — and, with a bottle or a t-shirt, out of the building and in front of other people. And it signals to the joiner that their arrival was planned rather than improvised, which is the part HR teams tell us actually shows up in how the first week goes.
Practically, a joining kit is also the most repeatable order a company places. A team hiring twenty people a month needs the same kit every month, with the same logo, in the same colours. That is the reason we treat it differently from festive or event gifting: the artwork gets approved once and the configuration stays on file, so a reorder is a quantity and a date rather than a fresh project.

How a joining-kit order actually runs
Six steps, and the only one that depends on you is the second. The clock on the 7–10 business days starts at artwork approval, not at enquiry — which is the single most common scheduling mistake we see.
Send the brief
Headcount, per-head budget, joining date, and whether it ships to one office or to individual addresses. That is enough for us to quote. You do not need to create an account or browse the catalogue first.
Quote and mockup
We send a GST quote with the kit itemised, plus a mockup showing your logo on each item with the branding method named. Check the logo spelling, colour and placement here — changes after approval restart the production clock.
Approve and raise the PO
Approve the mockup and send your purchase order in whatever format your finance team uses. We bill against it. GST invoice is issued on every order — not on request.
Production, item by item
Each item is branded with the method that suits its surface — laser engraving on steel, sublimation on ceramic, DTF or embroidery on apparel, UV or screen print on PU and paper. Everything happens in our own Bangalore studio, so there is no third-party vendor in the chain to chase.
Pack and dispatch
Kits are assembled and packed per recipient, not shipped as loose components. 7–10 business days from approval for a branded bulk kit. One office address, or individual pan-India addresses from your recipient sheet.
Reorder on the same artwork
Your approved files and kit configuration stay on file. The next batch is a quantity and a date. This is why joining kits are the order type our clients repeat most — nothing needs re-deciding.

Worth saying plainly, because it is not what people assume: our strongest institutional accounts are schools, educational trusts, colleges and hospitals — not tech companies. All four of our largest all-time accounts are education or institutional buyers. If you are a trust office or a hospital administrator, you are our core customer, not an edge case.
Schools, colleges & educational trusts
Our largest institutional accounts are education groups. Joining kits here usually mean staff and faculty intake at the start of a session — a diary, pen, bottle and ID card holder, ordered in one batch for 50–200 people, with a GST invoice the trust office can file against its budget head.
Hospitals & clinics
Staff kits for nursing, admin and paramedical intake, plus doctor onboarding at a higher band. Practical, washable, replaceable items work best — steel bottles, ID card holders, notebooks — and departments usually reorder every quarter as staffing rotates.

Small batches, frequent. MOQ 10 means you can run a kit for one week of joiners instead of over-ordering 200 and storing them. Apparel-led kits at the ₹1,000 band are the common choice where the new hire is client-facing.

Branding: which method goes on which item
A logo that looks wrong on the item is the fear procurement teams actually carry into this purchase. Here is what we use, and where. Everything is done in-house.

Two honest limits worth knowing before you plan: we do not offer large-format lamination, and our heat press handles up to A3. If your kit needs either, tell us early and we will say so rather than discover it mid-production.
What actually moves the per-head price
Five variables, in rough order of how much they matter. Knowing which ones you can flex is the difference between negotiating and just accepting a number.

One counter-intuitive point worth stating: branding fewer items often produces a better kit. A logo on every object starts to read as merchandise; a logo on the two or three items that will actually leave the building, with the rest clean, reads as a gift. That choice is free.
Getting bulk pricing when you hire in small batches
The tension in joining kits is structural: bulk pricing rewards volume, but hiring arrives in ones and twos. Most companies resolve it badly in one of two directions — either over-ordering 300 kits and storing them until the design is out of date, or ordering ten at a time and paying setup costs repeatedly.
The middle path is to separate the production run from the handover. Order one quarter's expected intake in a single production batch, take delivery of all of it, and hand out kits as people join. You pay the better per-unit rate once, the branding setup once, and you still have kits available the week someone starts. Our MOQ of 10 pieces per item means the floor is low enough that even a small team can do this with a quarter's worth rather than a year's.
Two things make this work rather than just moving the problem. First, keep the kit contents generic — company logo, not individual names — so any kit fits any joiner; personalised items go in a separate small run when you know who is coming. Second, avoid apparel in the stored batch unless you are confident in the size mix, since shirts are the one item where storing the wrong distribution wastes the saving you just made.
If your hiring is genuinely continuous, tell us the monthly run rate and we will quote a standing order — same configuration, fixed quantity, dispatched on a set date each month. That is the cleanest version of this, because nobody has to remember to place it.
Planning backwards from the joining date
Work back from the date the new hire walks in. Production is 7–10 business days from artwork approval for a branded bulk kit — every item is branded separately, then assembled and packed, and that sequence does not compress much. Add two to three days for the quote-and-mockup round trip, plus however long your own approval or PO cycle takes.
So a kit for a batch joining on the 1st of a month should be briefed in the middle of the previous month. If you hire continuously, the cleaner pattern is a standing order: one batch every month or quarter at a fixed quantity, dispatched on a set date, so you are never planning it again.
We will not tell you a branded bulk kit ships same-day, because it does not. What we will do is confirm a firm dispatch date in the quote, so you can commit to your joining date with something real behind it.

MOQ is 10 pieces per item. Every product in our corporate catalogue carries a minimum of 10, so a kit for a single week of joiners is a real order, not an exception. There is no obligation to buy 200 units to get bulk branding.
What does a joining kit cost per employee? +

Do you provide a GST invoice? +
Yes — a proper GST invoice is issued on every corporate order, and we accept purchase-order billing. This is the single most common question we get from procurement and accounts teams, so it is standard, not something you need to request.
How long does a joining kit order take? +
Plan for 7–10 business days from artwork approval to dispatch for a branded bulk kit. Simple single-process print jobs can move faster, but embroidery, laser engraving and multi-item kits need the full window because each item is branded separately and then packed. We confirm a firm dispatch date when we quote, so you can commit to your joining date.
What branding methods do you use, and which suits which item? +
All in-house: screen print, DTF, UV print, laser engraving, embroidery and sublimation. Steel bottles and metal pens take laser engraving; ceramic mugs take sublimation; apparel takes DTF or embroidery; PU notebook covers and card holders take UV print or screen print. We pick the method per item and show it on the mockup before production.
Is there a minimum spend per kit? +
No minimum spend per kit — the constraint is the MOQ of 10 pieces per item. A kit made of a ₹34 pen and a ₹19 keychain is a valid order at 10 pieces. That said, below roughly ₹200 per head the kit stops feeling like a kit, which is why our entry band starts there.
How do reorders work as we keep hiring? +
Your approved artwork and kit configuration stay on file, so a reorder is a quantity and a delivery date — no re-approval cycle, no re-setup of the print files. Companies hiring every month typically place one standing kit order and vary only the quantity, which is why joining kits are the most repeated order type we handle.
Can you drop-ship kits to individual employee addresses? +
Yes. Send a sheet with each recipient name, address, phone number and pincode, and we pack and dispatch individual kits pan-India rather than one bulk carton to your office. This is how most remote and hybrid teams order. Per-address shipping is quoted separately from the kit price, since it depends on the number of destinations and weight.
Can we order a sample kit before committing to the full quantity? +
