Most people searching for a joining-kit checklist are doing one of two things: building a kit for the first time and not wanting to miss something obvious, or looking up what a large well-known company puts in theirs to borrow the idea. Both end up in the same place, because good kits converge. A twelve-person startup and a 40,000-person services firm build from the same four layers; only the budget per layer moves.

So rather than guess at any particular company's internal kit — we have no visibility into those and will not pretend otherwise — here is what the kits we actually produce contain, which items earn their place, which ones get thrown away, and what each version costs per head. Every price on this page is a live line from our corporate catalogue.

A note on who this is for. Alongside corporates and startups, our strongest institutional accounts are schools, educational trusts, colleges and hospitals — staff and faculty intake at the start of a session, nursing and admin batches, departmental reorders every quarter. The paperwork layer

This is the part that is not a gift, and the part people forget to print until the day before. It is also the cheapest layer and the one a new hire notices immediately if it is missing.

Something to write on and something to write with. If you only budget for one layer beyond paperwork, make it this one — it is what gets used on day one, in the first meeting, before anyone has set up a laptop.

The belonging layer

Apparel and the presentation box. This is the layer that turns a bag of items into something the joiner photographs. Skip it on a tight budget without guilt — but if you include it, include it properly, because a badly fitted t-shirt is worse than no t-shirt.

Category by category: what earns its place

The four layers tell you the shape of a kit. This tells you why each category is in it, the per-head band at which it becomes affordable, and — more usefully — when to leave it out. Every price is a catalogue line at MOQ 10, ex-GST, excluding branding setup.

Drinkware

The highest-use item in any kit. A bottle or mug gets picked up several times a day, sits in eyeline during every meeting, and travels out of the building — which makes it the only kit item that markets you to people who do not work for you. If you have to choose one branded object, choose this one.

Stationery — notebook & pen

Day-one utility. In the first week a new hire is in back-to-back introductions with nothing to write on, and a notebook solves a real problem rather than performing generosity. The pen matters more than its price suggests: a pen that feels disposable undercuts everything else in the box.

Apparel

Belonging, and the only item people photograph. A branded t-shirt turns a box of objects into something a new joiner posts, which is free reach you cannot buy. It is also the riskiest category, because it is the only one where a wrong guess is visible and unfixable — see the sizing section below.

Tech & desk

Quiet daily usefulness. A mouse pad or desk mat is the item nobody asks for and everybody keeps, because it improves the desk immediately and costs little. Coasters and desk organisers do the same job at the small end.

ID, badges & card holders

Function first. The lanyard and ID holder are needed on day one whether or not you think of them as gift items, and a card holder becomes genuinely used by anyone client-facing. The cheapest way to make a kit feel complete rather than assembled.

Small carry — keychains

Disproportionate retention for the money. A ₹19 metal keychain goes onto a keyring on day one and stays there for years. It is the cheapest line in the catalogue that has a genuine chance of outlasting the employment.

The welcome letter & printed inserts

The only item in the kit that is about the person rather than the company. A signed letter on letterhead, addressed by name, is what separates a welcome kit from a bag of merchandise — and it is the cheapest thing in the box. We print letters, ID cards, badges and handbook inserts as part of the same order.

Affordable from: Every band. There is no budget at which this should be dropped.

Leave it out if: Nothing. A kit with no letter is the version people quietly find underwhelming.

Packaging & presentation

It is the difference between a handover and a moment. Loose items in a carrier bag read as leftover stock; the same items boxed read as planned. Our ready-made combo sets arrive packaged, which is one reason they often work out neater than buying the same items separately.

First day, first week, first month

A joining kit does not have to arrive as one box. Splitting it across the first month solves the two problems that cause most waste — apparel sizing, and spending premium money on someone before you know they will stay.

Before day one

Hand over: The welcome letter, joining formalities and the pre-joining form that collects t-shirt size, name spelling as they want it printed, and delivery address.

This is the only window in which you can still change what gets printed. Everything that goes wrong in a joining kit — wrong size, garbled name, kit delivered to an office the person never visits — traces back to this form not being sent early enough.

Day one

Hand over: The core kit: ID card and lanyard, notebook, pen, and the drinkware item. Handed over in a box, on the desk before they arrive if you can manage it.

Day one is when the kit does its actual job — removing the hour where a new hire sits with an empty desk and nothing to write on. Items they need in the first meeting belong here, not in a later batch.

Hand over: Apparel, once the size is confirmed by the person rather than guessed. Plus any desk items — mouse pad, coaster, organiser — as the workstation gets set up.

Splitting apparel out of the day-one box is the single best way to avoid wasted shirts. A second handover costs you nothing internally and removes the whole category of sizing error.

Hand over: The optional upgrade layer: a premium diary, a card holder for client-facing roles, or a desk mat once you know how they actually work.

Anything given here lands as recognition rather than onboarding, and you are spending on someone who has stayed. For high-attrition roles this is the sensible place to put the expensive item.

What to leave out

The shorter list, and the more useful one. These are the items that consistently get thrown away, go wrong, or eat budget that belonged somewhere else.

Apparel before you have the sizes

The most common waste in joining kits. Collect sizes in the pre-joining form, not after the shirts arrive. If sizes are not in yet, ship the kit without apparel and send the shirt separately — it costs a second dispatch but saves a whole batch of wrong sizes.

Anything perishable

Chocolate and snacks look generous in a photo and are a liability in a kit that sits in a store room for three weeks waiting for a joining date to firm up.

Six variants of the same thing

Two pens, a pencil, a highlighter and a stylus is not four times the gift. One good pen reads better and frees budget for the bottle.

A logo larger than the item can carry

Oversized branding is what makes a kit feel like merchandise instead of a gift. On drinkware and pens, a small clean engraved mark outperforms a full wrap almost every time.

Gadgets you have not handled

Cheap earbuds and power banks are the items most likely to fail in month two, and the failure attaches to your brand. If you want a tech item in the kit, buy one you would use yourself.

A kit with no letter in it

A box of branded objects with nothing addressed to the person by name is the version people quietly find underwhelming. The letter is the cheapest item in the kit and the only one that is about them.

Unbranded filler to make the box look full

A generic notepad or plain pen thrown in to add bulk does the opposite of what you intend — it signals the box was padded rather than planned. Three branded items in a well-sized box beat six items where half carry no logo. If the box looks empty, use a smaller box.

Putting the logo on a material that will not hold it

This is the failure people do not anticipate. A logo printed on a soft-touch coating will rub off at the edges within months; fine text screen-printed onto textured fabric fills in and becomes unreadable; a light logo on a dark ceramic mug needs the right process or it goes patchy after a few dishwasher cycles. The fix is method-to-surface matching — laser engraving on steel and bamboo, sublimation on ceramic, UV on rigid plastic and PU, DTF or embroidery on fabric — which is why the mockup names the method used on every item.

Loose items with no packaging

The same four items handed over in a carrier bag and handed over in a box are read as two completely different gestures. Packaging is the cheapest upgrade available to a joining kit and the one most often cut first.

Sizing, spares and logistics — the parts that go wrong

Contents are the easy half of a joining kit. Almost every problem we see comes from one of the seven items below, and all seven are decided before production starts rather than during it.

Collect t-shirt sizes in the pre-joining form

Put size in the same form as bank details and address — not a separate WhatsApp ask the week of joining, which is where the drop-off happens. Offer the actual size range you will order rather than an open text box, and include a chest-measurement note, because Indian apparel sizing varies enough between brands that people genuinely do not know their size in yours. If a size is missing at cut-off, ship the kit without the shirt rather than guessing.

Order about 5% spare, rounded up

Order a few extra kits beyond your confirmed headcount. Someone joins late, a box gets damaged in transit, a size turns out wrong, or a candidate accepts after the order went in. Spares cost you the per-unit price — re-running a branded batch for one person costs you the whole setup again and a fresh 7–10 business days. At MOQ 10 the spare is often already in the minimum, so it may cost nothing extra to plan for.

Confirm name spellings in writing, from the person

Anything engraved or personally printed needs the spelling confirmed by the individual, not taken from an HR spreadsheet or a forwarded message. Names get garbled in transit between systems more often than people expect, and an engraved mistake is not reworkable — the item is scrap. Every personalised item goes on a mockup before production; read every character on it.

Decide bulk-to-office vs drop-ship to homes before you order

It changes the packing, not just the shipping label. Individual dispatch needs a sheet with recipient name, full address, phone and pincode, and we pack and label per person. Bulk to one office is cheaper and simpler. Splitting an order after production has already been packed as bulk costs more than planning for individual dispatch upfront, so decide at brief stage.

Remote and hybrid hires: ship to the home, not the office

If a hire will rarely visit the office, a kit sitting in an office store room is a kit that never lands. We dispatch individual kits pan-India from your recipient sheet. Per-address shipping is quoted separately from the kit price because it depends on how many destinations and how heavy each kit is.

Give your logo files properly, once

Send vector artwork (AI, EPS, PDF or SVG) plus your brand colour codes. A logo lifted from a website is low-resolution and will look soft when engraved or printed large. Getting this right once matters more than usual here, because the approved artwork stays on file and every future reorder runs from it.

Build in the approval time that is actually yours

Production is 7–10 business days from artwork approval. The part that overruns is almost never production — it is the days spent waiting for someone internally to approve the mockup. Name the approver before you brief us, and work backwards from the joining date with that person's calendar in mind.

Ask about sizes & drop-shipping

For schools, trusts, colleges and hospitals

Institutional buying runs on a different calendar and a different approval path from corporate buying, and the same kit needs to be quoted differently to clear it. This is our strongest segment, so the notes below come from orders we have actually run rather than from guesswork.

Annual budget cycles, not monthly spend

Schools, trusts and colleges buy against a budget head approved for the year, with intake concentrated at the start of a session rather than spread across it. That means one large order at a predictable time — and it means the quote needs to arrive before the budget is locked, not after. Tell us your session start date and we will work backwards from it.

Proforma invoice for internal approval

Institutional buyers usually need a document to put in front of a committee, a trustee or a principal before any money moves. Ask us for a proforma invoice and we will issue one with the kit itemised, so the approval happens on paper with real numbers rather than on a verbal estimate. The GST invoice follows on order confirmation.

Staff, faculty and student intake are different orders

A teaching-staff kit, an administrative-staff kit and a student welcome kit rarely share contents or budget, even at the same institution. It is usually cleaner to quote them as separate line items on one order — same artwork, same dispatch, different contents — so each can be approved against its own budget head.

Hospitals: departmental reorders and rotation

Hospital staffing rotates, so kits reorder quarterly rather than annually, often per department. Practical, washable, replaceable items work best here — steel bottles, ID card holders, notebooks. Because the configuration stays on file, a departmental reorder is a quantity and a date.

What should be in an employee joining kit? +

Four layers: paperwork (welcome letter, ID card, lanyard, badge), desk (notebook, pen, coaster or mouse pad), daily carry (bottle or travel mug, tote, keychain) and belonging (branded apparel and a presentation box). A complete kit has at least one item from the first three layers; the fourth is budget-dependent. Anything beyond that is variation, not a gap.

How much should a joining kit cost per employee? +

Between ₹200 and ₹2,000 per head covers almost every case. Around ₹200–300 gets paperwork plus a desk item; around ₹500 adds a bottle or mug; around ₹1,000 brings in apparel or a four-piece set; ₹2,000 is a boxed premium kit for senior hires. Prices are ex-GST and exclude branding setup.

What is the minimum order quantity for joining kit items? +

MOQ is 10 pieces per item across our entire corporate catalogue — all 521 products. That means you can order a kit for ten joiners rather than committing to a few hundred and storing the rest.

Do you provide a GST invoice for joining kit orders? +

Yes — a GST invoice is issued on every corporate order, and we accept purchase-order billing. It is standard on every order rather than something you request separately.

How long does it take to produce a joining kit? +

7–10 business days from artwork approval to dispatch for a branded bulk kit. Each item is branded with its own process and then the kits are assembled and packed, so that window is the realistic one. Plan a further two to three days for the quote and mockup round trip before the clock starts.

What branding method should each item use? +

Match the method to the surface: laser engraving on steel bottles, metal pens, bamboo and cork; sublimation on ceramic mugs; UV print on card holders, PU notebook covers and coasters; DTF or embroidery on apparel and caps; screen print for large simple-logo runs. All six are done in-house, and the mockup names the method used on each item.

Is there a minimum spend per kit? +

No minimum spend per kit — the only constraint is MOQ 10 pieces per item. A kit built from a ₹34 pen and a ₹19 keychain is a real order at 10 pieces.

Can kits be shipped to individual employee addresses? +

Yes. Send a sheet with recipient name, address, phone and pincode and we pack and dispatch individual kits pan-India instead of one carton to your office — the standard route for remote and hybrid teams. Per-address shipping is quoted separately from the kit price because it depends on destination count and weight.

How do we reorder the same kit for the next batch of hires? +

The approved artwork and kit configuration stay on file, so a reorder is just a quantity and a delivery date. No second approval round, no re-setup of print files. Teams hiring monthly usually run a standing order and vary only the quantity.

How do we collect t-shirt sizes before ordering? +

Put the size question in the pre-joining form alongside bank details and address, and offer the actual size range you will order rather than an open text box. Include a chest-measurement note, because sizing varies enough between Indian apparel brands that people often do not know their size in yours. If a size is still missing at the production cut-off, ship the kit without the shirt and hand the shirt over in week one — a second handover costs nothing internally and removes the entire category of sizing error.

How many spare kits should we order? +

Order around 5% above your confirmed headcount, rounded up. Someone joins late, a box is damaged in transit, a size turns out wrong, or a candidate accepts after the order went in. A spare costs you the per-unit price; re-running a branded batch for one person costs the full setup again plus another 7–10 business days. Can you issue a proforma invoice for internal approval? +

Yes — ask and we will issue a proforma invoice with the kit itemised, so a committee, trustee, principal or finance head can approve against real numbers rather than a verbal estimate. This is the standard route for schools, trusts, colleges and hospitals; the GST invoice follows on order confirmation.

Does the whole kit have to be handed over on day one? +

No, and splitting it usually works better. Hand over the ID card, notebook, pen and drinkware on day one; apparel in week one once the size is confirmed by the person; and any premium item in month one. It is still one production order — you are staggering distribution, not placing multiple orders — and it removes the two biggest sources of waste: wrong sizes and premium spend on someone who leaves in week two.

Can we see what other companies put in their joining kits? +

We can tell you what works across the kits we produce — and the honest answer is that the good ones converge on the same four layers regardless of company size. We do not have visibility into any other company's internal kit and will not describe one as if we did.
